The report feature within Qualified works as a database to help you keep track of website visitors, their sessions on your website, and your existing leads and prospects.
In this article, we’ll walk you through how to use reports with filtering, searching, and building your own custom reports for easy future use.
Getting Started
To get started with reports you’ll want to navigate your way over to this feature by clicking on the Analytics icon on the left-hand side of your screen. Keep in mind that this feature is available for both reps and administrators in your account. Everyone will be able to see the visitor information, but the conversations with those visitors will only be available to those who own the lead within Qualified, or the administrators in the account.
Navigate to the Reports area and get familiar with the columns that are available to you by default as well as the ones that you can add, based on your visitor fields and external sources (like Salesforce, Pardot, 6sense, and Clearbit).
You can change these columns by using the Settings icon on the right-hand side to add or remove columns as needed. You can also change the order of the column to better fit your needs.
You'll notice the 'External' column will give you a quick glance into which visitors are Salesforce leads, Salesforce contacts, or Pardot prospects in your external systems.
To revert your changes, click out of the Reports or clear any filters you've created. To see more details about a particular visitor, click on the visitor row to open the playback URL which contains the conversation history and browsing history of the visitor.
Filtering
Filtering allows for you to quickly find the visitors from your Target Accounts that matter most. You can also do a quick inventory of visitors based on certain criteria such as meetings booked, demographics, or which experience they interacted with.
To start filtering your visitor information, click the "Filter" icon on the top left-hand side of your screen.
When filtering a date range you will notice that data is only available to filter for the previous 18 months. Any data prior to 18 months will not be displayed in app. Please reach out to your Qualified Success Architect for any data requests.
When you start to filter your reports, you'll first notice the option to filter your report by sessions or unique visitors. By default, Qualified will show you sessions. When a visitor comes to your website, Qualified will give each visitor a unique id to track their activity on your website and attach the activity to their unique id record.
When filtering by sessions, you'll see all sessions from all visitors on your website during the time frame you select. A session is defined as any time a visitor is on your website. For example, you'll want to use this filter when trying to see how many meetings were booked within a certain time frame or how many visitors were proactively engaged with by your reps.
When filtering by visitors, you'll be filtering by unique visitors that have come to your website. A visitor could have multiple sessions attached to their visitor id, so this filter is best set when looking for a particular lead or website visitor that has come to your website.
Saving Reports
In order to save time, you can share the reports that you create and save report lists across your whole team.
When you share with other Qualified users, they appear under "My Reports," as shown below. A few things to keep in mind:
- Reps cannot edit your original list once it's shared with them, but they can make changes and save as a copy.
- Reps cannot share lists to the whole team, but they can save their own lists privately.
- Reps will not be able to view individual conversations with visitors that they do not own in Qualified.
Exporting Reports
You can export your reports if those reports include 50k lines or less. To do this, run your filters and check to see the button for exporting on the right hand side of your screen. If the button is not there, your list might be too big and will need to be refined more to include less lines. When you do see the button, click on it to export your report information into CSV format.
Renaming, Duplicating, or Deleting Reports
You can rename, duplicate, or delete your personal or team reports at any time. Use the upper right-hand corner icon to open the edit menu. In this menu, select the option to rename, duplicate, or delete the report. When a shared team report is deleted, it will be deleted for everyone on the team.
Summary
Qualified reports work as a database of your website traffic, helping you and your sales reps to see a full picture of your website traffic and your hottest leads. Your sales reps can use reports to view who has been on the site recently, view which meetings have been booked, and check to make sure outbound campaigns are successful.
